# Client meeting notes in Notion: a template and follow-up system for lawyers

Good client meeting notes for lawyers record who attended, what was asked, what advice was given, what the client decided or instructed, and who does what by when. In Notion, a meeting-notes database template linked to the matter turns those action items into tracked tasks and drafts the confirmation message.

## Key takeaways

- Capture instructions and decisions separately from discussion; they are the parts that matter later.
- Create the note from a database template linked to the matter, so it files itself.
- Convert every action item into a row in an Actions database with an owner and date before you leave the room.
- Send a short confirmation within 24 hours; it is both client service and your record.

## What should client meeting notes for a lawyer contain?

Meeting notes serve three purposes: they help you do the work, they let a colleague pick it up, and they are evidence of what was said if there is later a dispute about instructions or advice. A page that mixes all three into one stream of text serves none of them well.

Keep the note short and structured. The fields below fit on one screen and take about 10 minutes to complete.

| Section | What to record |
| --- | --- |
| Header | Date, matter, attendees, mode (in person, phone, video), duration |
| Purpose | Why the meeting happened, in a sentence |
| Key facts | New facts or documents the client provided |
| Advice given | The substance of your advice, including options and risks you raised |
| Instructions and decisions | What the client asked you to do, or decided, in their words where possible |
| Open questions | What the client must find out or you must research |
| Actions | Who does what by when |
| Billing note | Time spent, in your time record |

A full file-note practice is covered in the existing guide; this article is about the meeting itself and the follow-up around it.

## How do you build the template in Notion?

Create a Meetings database with these properties: Title (client and subject), Date, Matter (relation to Matters), Attendees (text or relation to Clients), Type (Intake, Update, Strategy, Settlement, Closing), Status (Scheduled, Held, Follow-up sent) and Follow-up due (date). Then add a database template with the section headings above as headings in the page body, so every new meeting opens pre-structured.

Notion lets you create templates from the dropdown next to New in any database, so a note started from the matter page arrives already linked. Add a second template called Intake meeting with the questions you ask every new client.

## What is the follow-up system?

The notes are only half of the system. The value comes from what leaves the meeting.

1. Before: prepare: Open the matter page. Read the last meeting's open questions and actions. Add the agenda to the new note ahead of time.
2. During: capture, do not transcribe: Type decisions and instructions as they are made. Read back anything important: 'So you want me to ...?'
3. Immediately after: create actions: Add each action as a row in your Actions database with Owner, Due date and the matter relation. Include client actions, owned by the client.
4. Within 24 hours: confirm: Send a short email: what was discussed, what was decided, who does what, and the next date. Attach nothing you do not need to.
5. Log the time: Add the meeting time to the Time database while it is fresh.
6. Chase: Client-owned actions appear in your waiting-on view; the weekly review picks up anything overdue.

## What does a confirmation message look like?

Keep it plain and specific. A template you adapt saves time and keeps the tone consistent.

Confirmation email skeleton: Thank you for meeting today. To confirm: (1) You instructed us to [instruction]. (2) You decided [decision] after we discussed [options]. (3) We will [our action] by [date]. (4) Please send [item] by [date]. Our next step is [event] on [date]. If anything here differs from your understanding, please tell me so we can correct it.

The last sentence invites correction, which is the point: it turns a possible later disagreement into an early clarification. If your jurisdiction or engagement terms require instructions in writing, check your regulator's rules.

## Can AI help with meeting notes?

Transcription and summary tools can save time, but they raise confidentiality questions: where the audio is stored, who can access it, whether it trains models, and whether all parties have consented to recording. Treat the output as a draft that you check against your memory and your own notes, and read your regulator's guidance first.

## How do you keep meeting notes useful over time?

- Use a Matter view of Meetings sorted by date so the history reads like a timeline.
- Add a Decisions rollup or a pinned 'Instructions to date' block on the matter page, updated after each meeting.
- Mark notes that contain privileged advice if you share a client portal view, and keep those private.
- Review meetings with Status Held but not Follow-up sent every week. That view catches forgotten confirmations.

## Where LawyerOS fits

We make LawyerOS. Pro with AI has Matters, Actions, Clients and Time databases, which cover the action items, client link and time entry in this workflow. It does not ship a dedicated Meetings database, so you add one using the properties above. Starter is Matters and Deadlines only.

## FAQ

### What should a lawyer write in client meeting notes?

Date, attendees, purpose, new facts, the advice given, the client's instructions and decisions, open questions and action items with owners and dates. Record instructions and decisions precisely because they matter most if there is a later dispute.

### How soon should I send a follow-up after a client meeting?

Within 24 hours is a sound habit. A short confirmation of decisions, actions and next date keeps the client informed, provides a record, and gives the client a chance to correct any misunderstanding quickly.

### Should meeting notes be in Notion or in the document management system?

Either can work, provided the note is linked to the matter and stored securely. Notion suits structured notes with actions; keep formal advice letters and signed documents in your document system and link to them.

### How do I turn action items into tasks in Notion?

Add each action as a row in an Actions database with owner, due date and a relation to the matter. Showing client-owned actions in a waiting-on view lets you chase them in your weekly review.

### Can I record client meetings?

Only with appropriate consent and in line with your jurisdiction's recording laws and your regulator's guidance. Many lawyers prefer written notes plus a confirmation email. Check the rules where you practise before using recording or transcription tools.
