# Document management for law firms in Notion: what to store, link and keep elsewhere

For law firms, Notion works best as the index and workflow layer for documents, not the vault. Store notes, checklists and a Documents register in Notion; keep signed originals, drafts under version control and large files in a document management system or cloud drive, and link to them from the matter.

## Key takeaways

- Split documents into three groups: store in Notion, link from Notion, keep elsewhere only.
- A Documents database with status, version, owner and a link to the real file gives you control without moving files.
- Use one naming convention everywhere so files sort and search predictably.
- Check your regulator's rules on client files, retention and cloud storage before deciding.

## Should a law firm store documents in Notion?

Mostly no: use Notion to organise, track and point to documents, and keep the documents themselves in a system built for files. Notion is excellent at structured information and notes. It is weaker than a document management system (DMS) or a managed drive at version history of Word files, check-in and check-out, retention rules, audit trails and email filing.

That is not a criticism; it is a division of labour. The matter page in Notion becomes the front door: it lists every document that matters with its status and a link, and the files live where lawyers already draft. The existing guide covers a simple setup; this page gives the decision rules.

## What belongs in Notion, what to link, and what to keep elsewhere?

| Content | Where | Why |
| --- | --- | --- |
| Matter notes, file notes, meeting notes | Store in Notion | Structured, searchable, linked to the matter |
| Checklists, SOPs, procedures | Store in Notion | Living documents that change often |
| Documents register (index) | Store in Notion | Status, owner, version, date, link |
| Draft contracts and pleadings | Link (file in DMS or drive) | Need Word, track changes and version history |
| Signed originals, executed agreements | Keep elsewhere, link | Immutable record with access control and retention |
| Large evidence sets, scans, media | Keep elsewhere, link | Size, indexing and chain-of-custody needs |
| Email correspondence | Keep in email or DMS, link key items | Filing integration and completeness |
| Client ID and sensitive personal data | Keep elsewhere unless you have reviewed risks | Higher sensitivity; follow regulator and data protection rules |

If you decide to upload files into Notion, treat that as a deliberate choice for specific document types, with sharing limited and retention rules written down.

## How do you build a Documents register?

Create a Documents database related to Matters. One row per document that matters, not every file.

| Property | Type | Purpose |
| --- | --- | --- |
| Document | Title | Name using your naming convention |
| Matter | Relation | Shows on the matter page as a linked view |
| Type | Select | Pleading, Contract, Letter, Advice, Evidence, Court order, Other |
| Status | Select | Draft, In review, Sent, Signed, Filed, Superseded |
| Version | Text | v1, v2, final |
| Owner | Person | Who is responsible for this document |
| Date | Date | Document date or date filed |
| Location | URL | Link to the file in your DMS or drive |
| Privileged | Checkbox | Flags documents needing care in disclosure |
| Retention until | Date | From your retention policy |

On each matter page, embed a linked view of the Documents database filtered to that matter and grouped by Type. Notion lets you filter a linked database view by the current page, so every matter gets its own register from one database.

## What naming convention keeps files findable?

Use the same pattern in Notion and in the DMS so the register matches the files. A workable pattern is: matter number, date in ISO format, short description, version.

- 2026-0142 | 2026-10-27 | Letter to opposing counsel | v2
- 2026-0142 | 2026-11-03 | Witness statement J Smith | final
- Rules: no 'final_final', no personal initials as the only differentiator, dates as year-month-day so they sort, and always include the matter number.

Put the convention in an SOP page and link it from the Documents database description so new staff see it.

## How do you link to Google Drive, OneDrive or a DMS?

Paste the file or folder link into the Location property, or embed a folder in the matter page if the service supports it. Two cautions: sharing in Notion does not change permissions in the drive, so access must be managed in both places; and links break if someone moves a file, so link to folders for stable structures and files for key documents.

Decide where the master lives and say so. A common rule is: drafts live in the drive, signed versions live in the DMS, and the Notion register shows the latest status.

## What about retention, privilege and closing a file?

Your jurisdiction and regulator set client file retention and destruction rules; check them before deciding periods, and do not rely on a template. Record the retention date on the Documents database and run a closeout checklist that confirms the file is complete, originals returned, and the retention date set.

Be careful with sharing. A page shared with the wrong link setting can expose privileged material; review sharing settings during every matter closeout and when staff leave.

## Where LawyerOS fits

We make LawyerOS. Pro with AI includes Matters and Evidence databases and a Clients database, which you can use as the front door to documents and add the Documents register above. Starter covers Matters and Deadlines only. Neither is a document management system; files stay in your drive or DMS.

## FAQ

### Can Notion be used as a document management system for a law firm?

It can index and organise documents, but it lacks core DMS features such as check-in and check-out, Word version history and email filing. Most firms use Notion as the register and workflow layer and keep files in a DMS or drive.

### What documents should not be stored in Notion?

Signed originals, large evidence files, and highly sensitive personal data are usually better kept in a system with stricter access control and retention. Check your regulator's guidance and your client agreements before deciding.

### How do I link Notion to my document storage?

Add a URL property called Location to a Documents database and paste the file or folder link. Remember that Notion sharing does not change permissions on the storage service, so manage access in both.

### What is a good file naming convention for law firms?

Matter number, ISO date, short description and version, for example 2026-0142 | 2026-10-27 | Letter to opposing counsel | v2. Consistency matters more than the exact pattern, so write it down and apply it everywhere.

### Does the register need every file?

No. List the documents that matter: pleadings, contracts, advice, orders and key correspondence. Listing every file creates admin without value; the DMS already holds the complete set.
