# Free guide: Notion for lawyers in one afternoon

You can start using Notion for a law practice in one afternoon: create a workspace layout, build three core databases (Matters, Tasks, Contacts), review sharing and security settings, and set two daily habits. This free guide is written in-page; LawyerOS offers a ready-made version of the structure.

## Key takeaways

- Start small: three databases and one home page are enough.
- Review sharing, permissions and your bar's cloud guidance before storing sensitive material.
- Build habits (a daily check and a weekly review) before adding complexity.
- Notion is a flexible workspace, not regulated legal software.

## Hour 1: layout

General information, not legal advice. Create a workspace page called Practice with sub-pages: Home, Matters, Tasks, Contacts, Templates and Admin. Keep names plain. Resist the urge to build dashboards until you have used the basics for two weeks.

## Hour 2: three databases

| Database | Core properties | First view to create |
| --- | --- | --- |
| Matters | Name, Client, Type, Stage, Key date, Status | Active (Stage not Closed) |
| Tasks | Task, Matter (relation), Due, Priority, Status | My week (Due within 7 days) |
| Contacts | Name, Organisation, Role, Email, Related matters | Grouped by Role |

Link Tasks and Contacts to Matters with relation properties so a matter page shows everything connected to it.

## Hour 3: security and sharing

- Review who has access to the workspace and each page
- Check Notion's current security documentation and data-handling terms
- Read your bar's guidance on cloud storage and confidentiality
- Decide what you will never put in Notion
- Turn on available account protections such as two-factor authentication on your Notion account

## Worked example: your first matter

Add one real matter to test the structure. In Matters, create a row named for the client and matter, set Type to the area of work, Stage to Instructions received and Key date to the next date that matters. Open the row and, from the Tasks linked view, add three tasks: send the engagement letter, request documents, diarise the next date. Add the client in Contacts and relate it to the matter. The matter page now shows tasks and contacts together; if it does not, check the relation properties.

Do this with a matter you are already handling, not a made-up one, so you find out quickly whether the properties fit your work.

## Mistakes to avoid in week one

- Building ten databases before using three.
- Typing dates into text fields, which breaks views and sorting.
- Sharing a page publicly without checking what it contains.
- Importing every old file at once instead of starting with live matters.
- Never doing the Friday scan, so the structure goes stale.

If something feels clumsy after two weeks, change one property or view, not the whole layout.

## Hour 4: habits

1. Every morning, open Home and look at tasks due this week.
2. Every Friday, scan Active matters and write one next step for each.
3. Every time a matter closes, set Stage to Closed and note the file-retention date from your own rules.

## FAQ

### Is this a download?

No. The whole guide is on this page.

### Do I need a paid Notion plan?

Basic databases work on standard plans. Check Notion's current plans for sharing, permission and AI features.

### Is Notion suitable for confidential client data?

That is your professional judgment. Review Notion's security documents and your regulator's guidance first.

### What next after this afternoon?

Add time and invoice tracking, then consider LawyerOS Pro for a connected setup.

### How long before it feels useful?

Most people know within two weeks of putting real matters in. If you stop opening it, simplify the structure rather than adding to it.
