# Notion Relations and Rollups for Legal Matters

A relation links a row in one Notion database to a row in another, such as a deadline to its matter. A rollup then pulls a value across that link, such as the total hours on a matter or the earliest open deadline. Together they replace copying data between lists.

## Key takeaways

- Relations connect records; rollups summarise what sits on the other side of a connection.
- Always create two-way relations so you can navigate from either database.
- Typical legal rollups: sum of billable hours, count of open actions, earliest upcoming deadline.
- Rollups calculate; they do not interpret court rules or validate your data.

## What is a relation?

A relation is a property that holds links to pages in another database. Put a Matter relation on your Deadlines database and every deadline points at its matter. Turn on the two-way option and the matter page automatically lists its deadlines. Notion documents the feature in its help centre.

## What is a rollup?

A rollup looks through a relation, picks one property on the linked pages and applies a calculation: count, sum, earliest, latest, percent checked and so on. It lives on the page that holds the relation.

| You want to see | On this database | Relation to | Rollup of | Calculation |
| --- | --- | --- | --- | --- |
| Total hours on a matter | Matters | Time | Duration | Sum |
| Open tasks on a matter | Matters | Actions | Status | Count not done |
| Next deadline | Matters | Deadlines | Date | Earliest date |
| Matters per client | Clients | Matters | Name | Count all |

## Build the matter-to-deadline link

1. Open Deadlines: Add a property, choose Relation, and pick the Matters database.
2. Enable two-way: Allow the Matters database to show a Deadlines property too.
3. Add a rollup on Matters: Choose the Deadlines relation, the Date property and 'Earliest date'.
4. Filter first: If you only want open deadlines, filter the source view or add a Done checkbox and rollup carefully, then test with dummy data.
5. Show it in a view: Sort Matters by the rollup to see the most urgent matters first.

Our companion guide covers the same pattern for a typical matter database.

## Pitfalls to avoid

- Too many relations: each one is something to maintain. Link only what you will look at.
- Relating to the wrong database because two have similar names. Name them clearly.
- Trusting a rollup blindly: a missing link means a silently wrong total. Spot-check against a source before relying on it for billing.

LawyerOS, the Notion template we sell, is built on linked databases of this kind. You can reproduce the pattern yourself with the steps above.

## A check before you trust a rollup

Before relying on a number in a rollup for billing or reporting, test it. Pick one matter, add up the linked entries by hand, and compare. Do this again after you change a filter or property type, because rollups depend on the property being summarised, and changing a number to text, for example, can quietly change the result.

## FAQ

### What is the difference between a relation and a rollup?

A relation makes the link. A rollup reads values across that link and calculates something from them.

### Can one deadline link to two matters?

Yes, relations allow many links unless you limit them, but one matter per deadline is usually clearer.

### Do rollups update automatically?

Yes, inside Notion they recalculate when the linked data changes.

### Can I roll up a rollup?

Often yes, but it gets hard to debug. Keep the chain short.
