A paralegal's guide to LawyerOS in Notion

Paralegals using LawyerOS work from filtered views: their tasks, deadlines on their matters and documents awaiting review. They log time, update statuses and prepare drafts, while the supervising lawyer keeps responsibility for the work. Set permissions and a handoff routine so that supervision is visible in the system.

A daily routine

  1. 1

    Open home

Check Deadlines this week for anything on your matters.

  2. 2

    Work your tasks

In Pro, use the Actions view filtered to you; on Starter, filter Matters by assignee.

  3. 3

    Log time

Add entries as you finish tasks, not at the end of the week.

  4. 4

    Hand off

Set the item to Ready for review and name the lawyer.

  5. 5

    Close the day

Note anything blocked, and who you are waiting for.

Supervision

A draft is not finished until a lawyer signs it off. Make that part of the status flow: Draft, Ready for review, Approved, Sent. Professional rules on supervising non-lawyer staff exist in most jurisdictions (for example, ABA Model Rule 5.3 in the US); check yours and your firm's policy rather than relying on this guide.

Good habits

  • Write file notes after calls
  • Never enter a deadline without the source, such as a court order or rule
  • Ask when unsure which date is correct
  • Keep client information in matter pages, not in personal notes

For supervisors

  • Agree what a paralegal may draft, send or file without review.
  • Give new staff an hour of walkthrough, not just a link.
  • Check a sample of file notes and deadline entries each month.
  • Make questions easy to ask: a Questions view or comment convention.

Clear expectations make the system safer and make juniors faster.

Frequently asked questions

Does LawyerOS have roles?
It relies on Notion's workspace and page permissions. There is no separate login system.
Can a paralegal see all matters?
Only if permitted in Notion. Restrict sensitive matters.
Do I need Pro?
Pro adds the Actions, Time and Team databases that make task workflows easier.
Who is responsible for deadlines?
The supervising lawyer, ultimately; follow your firm's rules.
