AI Is Not a Feature: It Is a Property of Your Structure

Our view: AI is not something you switch on; it works only as well as the structure underneath it. A firm with clear matter records, consistent naming and written procedures gets useful answers from AI. A firm with scattered files gets confident-sounding guesses.

The argument

Vendors present AI as a feature: a button, a tab, an add-on. In a law practice the button is the easy part. The hard part is that the assistant needs something reliable to read. If your open matters, key dates and next actions live in four places, no tool will reconcile them correctly.

What structure means in practice

Structural habitWhy AI benefits
One database row per matter with status and stageA single place to ask 'what is open?'
Next action recorded on every active matterSummaries can surface gaps
Consistent names and property valuesFewer wrong matches
Written procedures (SOPs)Drafts follow your way of working
Clear permissionsThe assistant sees only what it should

A counter-argument, fairly put

Some will say AI can clean up mess for you, and for low-stakes tidying it can help. But for anything a regulator or client could question, you are better placed to supervise AI over structured records than over a pile of documents you cannot easily check.

We have an interest here. We sell LawyerOS, a Notion template, which is a structure-first product. Weigh our view accordingly, and check your own regulator's guidance on AI use.

A ten-minute structure audit

  1. Pick five open matters at random.
  2. For each, find its current status, next action and next date within one minute.
  3. Count how many needed more than one place to look.
  4. If more than two did, fix your records before you consider any AI tool.

This is a rough self-test of ours, not a validated measure.

Frequently asked questions

Is AI useful for law firms at all?
Yes, for supervised tasks like summaries and first drafts. Our point is about sequence and structure.
Do I need Notion to be AI ready?
No. Any tidy, consistent system helps.
Is this based on data?
No. It is an opinion based on how structured records make review easier.
What should I do first?
Create one reliable record per matter and a written next action for each.
