Notion Workflows for Law Firms: From Intake to Closeout

A Notion legal workflow is a matter stage property plus the views, checklists and buttons that react to it. Define five or six stages from intake to closeout, give each a short checklist, and let saved views show what is waiting at each stage.

What is a workflow in Notion?

Notion has no workflow engine in the way practice software does. What you can build is a repeatable structure: a stage property, a page template per matter type, buttons that add standard tasks, and views that show what is next. That is enough for most small practices.

A six-stage matter workflow

StageWhat happensWhat to record
EnquiryFirst contact, basic factsSource, date, summary
Conflict checkCheck parties against your recordsResult, who checked, date
EngagementTerms agreed and signedDate signed, fee basis
ActiveThe work itselfNext action, key dates, linked tasks
WaitingWaiting on court, client or third partyWhat for, chase date
CloseoutFinal steps and file closureClosing letter date, retention date

Rename the stages to match your practice. Litigation, conveyancing and family work all move differently, so build a template per matter type if the checklists differ.

Set it up step by step

  1. 1

    Add a Stage property

Create a select property on your Matters database with your stages in order.

  2. 2

    Build a board view

Group by Stage so you can drag a matter from one column to the next.

  3. 3

    Create page templates

Add a template per matter type with the checklist for that type inside it.

  4. 4

    Add a 'Waiting' view

Filter to the Waiting stage, sorted by chase date, and open it every morning.

  5. 5

    Review monthly

Look for stages where matters sit too long and tighten the checklist.

What the workflow will not do

Notion will not chase a deadline for you by itself, run a conflicts search across other systems, or apply court rules. Treat the workflow as a disciplined way of seeing your own work. LawyerOS, our Notion template, ships a Matters database with stage and status properties as a starting point; we sell it, and you can equally build your own from this page.

Using buttons and templates to cut repetition

Database templates let you pre-fill a new matter with the right checklist for its type: a litigation matter might start with pleadings and evidence headings, a transaction matter with a closing checklist. Notion buttons can add a standard set of tasks or a new page with one click, which is useful for steps like opening a file or starting closeout.

Keep each checklist short enough that people tick it honestly. A twenty-line checklist that is always ticked without reading is worse than a six-line one that is read.

Frequently asked questions

Can Notion automate legal workflows?
Partly. Buttons and database templates reduce repetition, and Notion has automation features on some plans, but check what your plan includes. It is not a full workflow engine.
How many stages should a matter have?
Between five and eight. More than that and nobody updates them.
Should every practice area share one workflow?
Share the database but give each matter type its own checklist template.
Where do court deadlines fit?
In a linked Deadlines database. Calculate the dates using your court rules, then record them there.
