Metrics worth tracking
| Metric | Source data | Why it matters |
|---|---|---|
| Hours logged this month | Time entries | Capacity and billing readiness |
| Invoices issued | Invoice entries | Billing discipline |
| Outstanding invoices | Invoice status | Cash follow-up list |
| Unbilled time by matter | Time minus invoiced | Work waiting to be billed |
| Matters by status | Matters | Pipeline and workload |
How to build it
- 1
Record the data
Keep Time and Invoices databases, each related to Matters.
- 2
Add rollups
On each matter, sum time and invoice amounts.
- 3
Create views
Invoices where status is Sent and past due; time not yet invoiced.
- 4
Assemble the page
Place linked views and a few key totals at the top.
- 5
Set a monthly check
Compare totals to your accounting system and fix gaps.
What must stay elsewhere
Decide who can see financial pages and keep access narrow.
With LawyerOS
LawyerOS Pro with AI ($39) includes Time and Invoices databases linked to Matters, with saved views, which gives you the data layer for such a dashboard. Starter ($19) covers matters and deadlines only. LawyerOS does not issue invoices, take payment or reconcile accounts.
A worked example: reading the dashboard
Suppose the Unbilled time view shows one matter with a large amount of recorded time and no invoice for three months. That is a prompt to act: bill it, write it off with a partner's decision, or find out whether the time was recorded to the wrong matter. In another case the Outstanding invoices view lists three invoices past due. The dashboard did not collect anything, but it made the follow-up list obvious on Monday morning. Compare the totals to your accounting software at month end and note any difference; the gap tells you where your manual entry is slipping.
Keeping the numbers trustworthy
- Use one currency and one date convention across the databases.
- Make Matter a required relation on every time and invoice entry.
- Use a Status property with a short fixed list: Draft, Sent, Paid, Written off.
- Name the owner of each figure so someone is responsible for updating it.
- Add a Last reconciled date at the top of the page and update it each month.
- Archive old periods instead of deleting them, and keep the accounting system as the record.
A dashboard that is wrong looks as authoritative as one that is right. Treat the reconciliation step as part of the dashboard, not an optional extra.
Frequently asked questions
- Can Notion replace accounting software?
- No. It can summarise data you enter but is not a ledger.
- How accurate is a manual dashboard?
- As accurate as the data entered. Reconcile regularly.
- What is one metric to start with?
- Unbilled time by matter often prompts action quickly.
- Can I show it to partners?
- Yes, as a linked view, with access limited to those who need it.
- How often should I update it?
- Update time and invoice entries as they happen or at least weekly, and reconcile to your accounting records monthly.
