Notion formulas for lawyers: 10 you will actually use

Useful Notion formulas for lawyers include days until a deadline with dateBetween, an overdue flag with if and now, six-minute billing rounding with ceil, invoice amounts with round, and a missing-data check with empty. Each uses a handful of functions and a few prop() references to your own property names.

Which Notion formulas do lawyers actually use?

Ten patterns cover most legal databases: days left, overdue flags, due-soon labels, review dates, rounding time, billing amounts, name labels and data checks. The examples assume properties named as shown, so rename the prop() references to match your own.

Notion's help centre documents each function used here, including dateBetween, dateAdd, formatDate and prop. Syntax can change, so check the formula reference if an example errors.

How do you calculate days until a deadline?

Formula 1 returns the number of days from today to a Deadline date. A positive number means in the future.

dateBetween(prop("Date"), now(), "days")

Sort a view ascending on this formula to see the most urgent item first. Remember it counts calendar days, not court days; it knows nothing about holidays or service rules.

Formula 2 flags overdue items that are not done:

if(prop("Date") < now() and prop("Status") != "Done", "OVERDUE", "")

Formula 3 gives a due-soon label:

if(dateBetween(prop("Date"), now(), "days") <= 7, "Due within 7 days", "")

How do you calculate follow-up dates and readable dates?

Formula 4 adds a fixed interval to a date, for example a client follow-up 14 days after the last contact:

dateAdd(prop("Last contact"), 14, "days")

Formula 5 turns a date into text for a status line or an email draft:

formatDate(prop("Date"), "D MMMM YYYY")

The second argument is a format pattern. Test it on one row to confirm it produces the style you want.

How do you round time and compute fees?

Many firms bill in six-minute (one-tenth hour) units. Formula 6 rounds minutes up to the next six:

ceil(prop("Minutes") / 6) * 6

Formula 10 converts rounded minutes to hours:

round(ceil(prop("Minutes") / 6) * 6 / 60 * 100) / 100

Formula 7 multiplies hours by a rate and rounds to cents:

round(prop("Hours") * prop("Rate") * 100) / 100

Billing increments and rounding rules come from your engagement terms and local rules, so match the formula to what your client agreed to rather than the other way round.

How do labels and data checks keep records clean?

Formula 8 builds a readable matter label from client and matter type:

concat(prop("Client name"), " - ", prop("Matter type"))

Formula 9 catches records missing a key date, so they appear in a cleanup view:

if(empty(prop("Key date")), "Missing key date", "OK")

A view filtered to Missing key date is a fast weekly hygiene check and costs almost nothing to maintain.

How do you avoid formula errors?

  1. Match property names exactly, including capitals and spaces inside prop("...").
  2. Check the property type: dates for date functions, numbers for arithmetic.
  3. Handle blanks with empty() before doing date maths.
  4. Build the formula in steps; test the inner expression first.
  5. Keep a dummy row with edge cases (blank date, zero minutes).
  6. If a function errors, compare it with Notion's formula reference, since syntax can change.

Where LawyerOS fits

LawyerOS saved views already handle common needs such as deadlines due this week, overdue actions and uninvoiced time, without you writing formulas. You can still add the formulas above to its databases, adjusting property names to match.

Frequently asked questions

How do I calculate days until a deadline in Notion?
Use dateBetween with your date property and now(), for example dateBetween(prop("Date"), now(), "days"). Positive results are in the future. It counts calendar days, so verify real court or limitation dates against the applicable rules rather than relying on it.
How do I round time up to six minutes in Notion?
Divide minutes by six, round up with ceil, then multiply by six: ceil(prop("Minutes") / 6) * 6. Confirm that rounding up is what your engagement terms and local billing rules allow before applying it to client bills.
Why does my Notion formula show an error?
Common causes are a mistyped property name inside prop(), a wrong property type such as text instead of a date, or a blank value. Check names exactly, confirm types, wrap blank-prone inputs in empty(), and compare with Notion's formula help page.
Can formulas replace a court deadline calculator?
No. Formulas can add or subtract days from a date, but they do not know holidays, service methods or court rules. Use them to display and sort dates you have verified, and check calculations against the applicable rules.
Do Notion formulas work on the free plan?
Formula properties are a standard database feature. Plan features change, so check Notion's current plans page. Automations are different: Notion's help centre says database automations other than Slack notifications need a paid plan.
