What does it mean to master Notion as a lawyer?
Mastering Notion means you can design a database, link it to other databases, show the right slice of it in the right place and automate the repetitive parts. For lawyers that translates into a matter tracker that tells you what is due without searching.
You do not need to learn every block type. Five skills carry nearly all legal use, and they build on each other. The sections below are one per week.
| Week | Skill | Proof you have it |
|---|---|---|
| 1 | Databases and properties | A Matters database with 6 typed properties |
| 2 | Relations and rollups | Deadlines linked to matters, count shown on matter |
| 3 | Filtered views and dashboards | A home page showing deadlines due in 7 days |
| 4 | Templates and buttons | One click creates a new matter with a checklist |
| 5 | Formulas and automations | Days-to-deadline formula and one automation |
Way 1: how do you learn databases and properties?
A database is a table where each row is a page. Every column is a property with a type: text, select, date, person, number, checkbox, relation. Choosing the correct type is the most valuable habit you can build, because filters, sorting and formulas depend on it.
- 1
Create a Matters database
Use a full-page database called Matters.
- 2
Add typed properties
Client (text), Matter type (select), Stage (select), Status (select), Key date (date), Responsible (person).
- 3
Add ten dummy matters
Use invented clients and matter names only.
- 4
Sort and filter
Sort by Key date ascending, filter Status is not Closed.
Rule of thumb: if you will ever filter by it, it must not be free text. Dates go in date properties, not titles.
Way 2: how do relations turn pages into a system?
A relation property links a row in one database to rows in another. A rollup then summarises the linked rows, for example the number of open deadlines on a matter. This is the feature that separates a list of pages from a practice system.
- 1
Create Deadlines
Properties: Date, Type (select), Court or authority (text).
- 2
Add a Matter relation
Relate Deadlines to Matters; Notion can create the reverse property on Matters automatically.
- 3
Add a rollup
On Matters, roll up Deadlines by Date to show the earliest date.
Way 3: how do views and dashboards put information in front of you?
A view is a saved filter, sort and layout of a database. One Matters database can show a table for admin, a board by stage and a calendar by key date. A dashboard page simply embeds linked views of your databases.
Build three views of Deadlines: Next 7 days (date is within the next week), Overdue (date before today and status not done) and By matter (grouped). Place linked views on a Home page in that order. Open Home each morning for a week; if you still search for something, add the view you needed.
Way 5: when are formulas and automations worth learning?
Learn these last. Once structure exists, a formula such as days until a deadline or an automation that sets a status adds real value; before that they add clutter. Start with one formula and one automation, no more.
Which real exercises prove you can use Notion?
- Build a Matters database with ten dummy rows and six typed properties.
- Add Deadlines related to Matters and show each matter's next deadline.
- Create a Home page with Next 7 days, Overdue and Active matters views.
- Create a New matter template and a button that uses it.
- Add a Days left formula and sort by it.
- Ask a colleague to find the next deadline for a named matter in under 20 seconds.
Only after you can do all six should real client information go in, and only after reviewing your confidentiality obligations.
Where LawyerOS fits
If you would rather study a finished example than start blank, LawyerOS gives you a working Matters and Deadlines structure to dissect, and Pro with AI adds Actions, Time, Team, Evidence, Research, Clients and Invoices. Many people learn fastest by editing a template that already works.
Frequently asked questions
- How long does it take to learn Notion as a lawyer?
- Most lawyers can build a working matter and deadline tracker in a few evenings, and be comfortable with relations and views within about five weeks of light practice. Time depends on how much you practise and whether you start from a template or from scratch.
- Should I learn Notion from scratch or use a template?
- Both work. Building one small database from scratch teaches how properties and relations behave; a template shows you a complete design. A good approach is to build the matters and deadlines tracker yourself, then study a template to see what you missed.
- What is the most important Notion skill for lawyers?
- Relations. Linking tasks, deadlines, time and documents to a matter is what makes Notion a practice system rather than a notebook. After that, filtered views are the skill that turns the linked data into something you can read every morning.
- Do I need to learn formulas to use Notion well?
- No. Databases, relations and views deliver most of the value. Formulas help with things like days until a deadline or rounded billing time, but add them only once the structure is working and you have a specific need.
- Is it safe to practise with real client data?
- Practise with invented data. Before storing real client information, review Notion's security documentation, your bar or regulator's guidance on cloud storage and confidentiality, and your engagement terms. See our security guides for the questions to ask.
