What you add to the standard build
Practising certificate and CPD as a database
Annual practising certificate renewal and continuing professional development, with insurance and any returns your regulator requires, each a row with a due date and owner. Record the requirements from the source.
Court filing and hearing tracker
Court dates and filing deadlines for each matter, with the trigger event and rule recorded. Calculate dates in a rules-based way; Notion tracks and warns. Link to the filings held in the court system.
Jurisdiction and governing law on every matter
Singapore practices often handle cross-border work. A Governing law and forum field, and a Counterparty jurisdiction field, show at a glance which rules and counterparties are involved.
Data protection decisions recorded
A short record of what personal data you keep in Notion, why, where it is hosted, and how you meet your data protection obligations, including for transfers outside Singapore.
An arbitration tracker
For arbitration work, a database for the seat, rules, tribunal, procedural timetable and hearing logistics, linked to the matter and its deadlines.
Cross-border by default
Singapore lawyers are regulated under the Legal Profession Act and the professional conduct rules, with the Law Society of Singapore and the Singapore Academy of Law central to practice, and personal data governed by the Personal Data Protection Act. Many matters cross borders, so build jurisdiction in from the start: a governing-law and forum field on every matter. This page names instruments and states principles only; rules change, so go to the source.
What is specific to practice in Singapore
| Topic | Instrument or body to check | What to build in Notion |
|---|---|---|
| Conduct | Legal Profession Act; Legal Profession (Professional Conduct) Rules; Law Society of Singapore | Engagement and conflicts records; a data decision on file |
| Client money | The solicitors' accounts rules | Reference to the ledger and a reconciliation reminder; ledger in dedicated software |
| Data protection | Personal Data Protection Act; Personal Data Protection Commission | A data policy page; breach plan; data-transfer analysis |
| Court filings | The relevant court's rules; the court's e-filing system | Deadlines with trigger and rule; a link to each filing |
| Arbitration | The seat's law and the institution's rules | An arbitration tracker database |
| Practice admin | Practising certificate and CPD requirements | A practice-admin database with due dates |
Court deadlines are tracked, not calculated
Court filings run on the rules of the relevant court. Notion should record each deadline with its trigger event and the rule relied on, and warn you; the calculation belongs in a rules-based approach with a second check. Why Notion tracks but does not calculate. Keep the court's e-filing records as the source of truth for what was filed and when; store the reference in Notion.
Cross-border matters
| Field on the matter | Why |
|---|---|
| Governing law | Which law decides |
| Forum or seat | Where disputes are heard or arbitrated |
| Counterparty jurisdictions | For conflicts, enforcement and sanctions awareness |
| Client jurisdiction and data location rules | Data transfer analysis |
| Foreign counsel and local rules | Who else is involved and what applies |
| Time zones for key dates | Avoids missed cut-offs |
An arbitration tracker
For arbitration, a small set of related databases gives structure to a matter that is driven by a procedural timetable rather than a court calendar.
| Database | Key properties |
|---|---|
| Arbitrations | Matter, institution, rules, seat, governing law, claim and counterclaim amounts (reference), stage, tribunal |
| Tribunal and counsel | Name, role, appointed by, disclosures and conflicts notes, contact |
| Procedural timetable | Step, date, owner, source order, status; each date recorded as a trigger from the order |
| Hearings | Date, venue (virtual or in person), logistics, witnesses, bundles |
| Submissions | Title, due, status, link to the document |
Data protection in practice
The PDPA places obligations on organisations that collect, use or disclose personal data, including protection, retention and the transfer of personal data outside Singapore. For your Notion use: know what personal data you hold (clients, counterparties, witnesses, staff), decide who needs access, check where the service stores data and what safeguards govern transfers, and have a breach-response plan. Record it in the data policy and review it yearly.
Client money stays elsewhere
Client accounts are governed by the solicitors' accounts rules and belong in software built to meet them. Keep a link and a reconciliation reminder in Notion, not the ledger. See trust accounting and Notion.

Questions we get asked about this
- Can Singapore lawyers use Notion?
- Many do. Whether it suits your practice depends on the professional conduct rules, the Personal Data Protection Act, any guidance from the Law Society or the regulator on technology and cloud use, and your clients' requirements. Read current guidance and Notion's security documentation, and record your decision.
- Does the PDPA affect how I use Notion?
- Yes, the Personal Data Protection Act applies to personal data you hold, including in cloud tools, including obligations around protection and transfers outside Singapore. Check your obligations at the source and check where Notion stores your data.
- Can I keep client money records in Notion?
- No. Client money must be handled under the solicitors' accounts rules and belongs in dedicated accounting software. Notion can hold a reference to the ledger and a reconciliation reminder.
- How do I track Singapore court deadlines in Notion?
- Record each deadline with its trigger event, the rule relied on, who calculated and who confirmed it, and track it with staged reminders. Calculate from the rules of the relevant court, not with a formula, and link to the filing in the court's system.
- How should a Singapore firm track arbitration matters?
- With a database capturing the seat, institution and rules, tribunal members, procedural timetable, hearing dates and logistics, relating each step to the matter and its deadlines. Record dates from the procedural orders as triggers.
- What should a Singapore firm do about cross-border data?
- Check where your vendor stores data, what safeguards apply to transfers, and what your clients' instructions say. Record your analysis in the data policy.
