The close-out checklist
- Final invoice issued and marked Sent.
- Final file note written, summarising outcome.
- All documents tagged Final or Archived. Drafts deleted or moved.
- Client portal access revoked.
- Closing letter sent.
- Matter Status set to Closed with Closed date.
- Contacts updated for future conflict checks.
Run the checklist on the matter page itself. When every box is ticked, the matter is closed. The record stays. The conflict check next year will surface it. Nothing is lost.

Build it step by step
- Create a closing checklist template per matter type.
- Add steps: final work complete, final invoice, outstanding funds dealt with in your accounting system, closing letter, files returned or archived, conflicts and contact records updated.
- Record the retention approach and where the file lives.
- Capture one lesson learned and update the precedent bank or SOP.
- Set the stage to Closed only when the checklist is complete.
