Organise legal documents in Notion

Use Notion as the index to a matter's documents: a Documents database with name, type, date, matter, status and a link or attachment. Apply a consistent naming rule and keep large or controlled files in your document system. Notion is not a full document management system, so decide deliberately what lives where.

Index or store?

ApproachGood forWeakness
Index in Notion, files elsewhereFirms with an existing DMS or cloud driveTwo places to keep in sync
Attach files in NotionSmall practices, small filesStorage limits and weaker version control

Check Notion's current file size and storage limits for your plan. In LawyerOS Pro, the Evidence database is designed for items you rely on; use a Documents database for the wider file.

Documents database

  • Name (title) following the naming rule
  • Matter (relation)
  • Type: correspondence, pleading, advice, contract, evidence, note
  • Date and Direction (incoming or outgoing)
  • Status: Draft, Sent, Final, Signed
  • Link or file
  • Privileged (checkbox)

A naming rule might look like 2026-10-17 Smith v Jones Letter to client v2. Choose yours and write it in your SOP.

Steps

  1. 1

    Create the database

Add the properties above and relate it to Matters.

  2. 2

    Show it on the matter

Add a linked view of Documents filtered to this matter, using a matter template.

  3. 3

    Build a recent-documents view

    Sort by date, newest first.

  4. 4

    Agree a habit

Every outgoing document is logged when it is sent.

Confidentiality

Set Notion page permissions deliberately, avoid public links on client material, and review the security overview. Retention and disposal rules come from your regulator and your retainer, not from Notion.

Common mistakes

  • Renaming files after linking, which can break links outside Notion.
  • Using personal drives for client documents.
  • No status field, so draft and final versions look alike.
  • Granting wide edit rights on the Documents database.

Run a monthly check for matters with no documents logged in the last 90 days.
