Email triage and correspondence in Notion
Pull email out of the inbox into matter pages. The inbox becomes a transient list. The matter is the canonical record.

TL;DR
- Forward important emails to a Notion email-in address that lands them in an Inbox database.
- Triage daily. Each email gets a matter and an action, or it gets archived.
- The matter page becomes the single record of correspondence.
The problem
The inbox is the wrong place to store the record of a matter. It is sorted by time received, not by relevance. It mixes spam, internal admin, and the critical exchange with the other side. The senior partner who asks "where is the May 12 letter from opposing counsel" should not have to dig through Gmail.
The solution in Notion
Notion provides an email-in feature on Business plan that gives every database a unique email address. Forward important emails to that address. They land as rows in an Inbox database. Properties: subject, from, received, matter (relation), action (select: Reply, Read, File, Done), status.
Triage twice a day. For each new row, set the matter and the action. Anything that is reference material gets filed against the matter and marked Done. Anything that needs a reply gets a deadline. The Inbox stays small because most of it is filed within an hour of arriving.
The structure in full
Email is where commitments get lost. The goal is simple: every email that creates work becomes a task or a log entry, and the inbox goes back to being a delivery channel.
| Property | Type | Why |
|---|---|---|
| Task from email | Title | What is required |
| Source | URL | Link back to the email |
| Matter | Relation | Which file |
| Due | Date | When |
| Waiting on | Select | You, Client, Third party |
Build it step by step
- Decide two or three daily email windows and a rule for what gets answered immediately.
- For any email that creates work, add a task with a link and a due date.
- For any email that records a decision or promise, add a log entry on the matter.
- Use a Waiting-on view to chase replies.
- Archive aggressively; the record lives in the matter, not the inbox.
Views worth creating
| View | What it shows |
|---|---|
| Waiting on others | Items to chase |
| Due today | Email-created tasks |
| Unfiled | Emails not yet linked to a matter |
Mistakes we see
- Using the inbox as a to-do list.
- Promises in email never logged.
- No chase process.
- Forwarding client emails into tools you have not approved.
Where Notion stops
- Check your confidentiality obligations before connecting email to any tool or AI.
- Notion is not an email client.
