Set up a precedent library in Notion

A precedent library in Notion is a database where each row describes one reusable document: its type, practice area, jurisdiction, owner, last review date and a link to the master file. Notion becomes the index and the review tracker; the documents themselves can stay in your document system.

Start small

  1. 1

    List what you reuse

Look at the last three months' files and list the documents you copied.

  2. 2

    Add the top 20

Create a row for each with the fields above.

  3. 3

    Link the masters

Point to the file in your document system or upload to the row.

  4. 4

    Add a view

Group by practice area; second view for 'Last reviewed over a year ago'.

Using it on matters

Relate precedents to matters through a used-in relation if you want a record of what was adapted. In LawyerOS, you can link a precedent from a matter's page or from an Actions task such as 'draft engagement letter'.

Where this ends

If you want a firm-wide system with taxonomy, approvals and know-how capture, read the knowledge management and precedent bank guide instead. This guide is the quick version.

Do not put client-specific content in a precedent. Remove names and confidential detail before saving.

Common mistakes

  • Saving matter-specific documents as precedents without cleaning them.
  • Duplicating the same precedent in several places.
  • No retirement status, so outdated forms keep circulating.
  • Missing jurisdiction fields where you work across more than one.

When a precedent is used and improved on a live matter, feed the improvement back to the master.

Frequently asked questions

Can I store the documents in Notion?
You can attach files, but many firms index in Notion and keep masters in a document system.
How often should precedents be reviewed?
Set your own cycle, often annually, and sooner when the law changes.
Does LawyerOS include precedents?
It does not ship legal precedents; you add your own.
Can multiple people edit the library?
Yes, with Notion permissions; limit editing of masters to owners.
