For a solo or small firm it replaces a separate CRM subscription, and because it lives next to the matters, the client history is complete in a way a standalone CRM rarely is.

1. Contacts and Organisations
One row per person, one per organisation, related so a general counsel's page shows their company and the company's page shows everyone you know there. Properties worth having: Role (client, prospect, referrer, opposing counsel, expert), Practice area interest, Source, Next follow-up date, and relations to Matters and Enquiries. 2. The enquiry pipeline
An Enquiries database with Status (New, Consultation booked, Engaged, Declined, Conflicted), Practice area, Source, Value estimate and a relation to Contacts. 3. Interactions
Calls, meetings and significant emails as rows: date, type, summary, next step, and relations to the contact and (if any) the matter. A page template with fixed headings keeps them quick to write. Over a year this becomes the relationship history that partners otherwise keep in their heads and take with them when they leave.
4. Referral tracking
Add a Referred by relation from Enquiries and Matters to Contacts. On each contact, roll up how many enquiries and matters they sent and the fees on those matters. 5. Follow-up views
- Awaiting reply: enquiries in New for more than a day.
- Follow-ups due: contacts whose next follow-up date is this week.
- Quiet referrers: referrers with no interaction in 90 days.
- Declined, with reasons: so you can see what work you turn away and why.

What to keep outside Notion
Bulk email, newsletters and automated sequences belong in an email marketing tool with proper consent and unsubscribe handling. Export the relevant contacts rather than running campaigns from Notion. And keep marketing data separate from privileged client information; read the security pillar before you mix them.
