From Word documents and folder chaos to a matter database in Notion
Organise legal documents in Notion: a matter number and naming rule, a Documents database, linking instead of mass-moving files, and a start date.

Do not try to move every file. Create the matter database first, then link documents to matters, starting with open work. Adopt a matter number and a naming convention before anything else, use a Documents database to give you filtering, status and version tracking, and set a start date after which every new document is created in the system. This works whether your files are in Word, a shared drive or a cloud folder. Why mass-moving fails
- It takes weeks and stops before it finishes, leaving two systems.
- It loses permissions, version history and metadata.
- It buries the value (open matters) in noise (a decade of closed ones).
- It makes Notion a document store, which it is not the best at.
Step 1: inventory
List where documents live today: shared drive, cloud folders, laptops, email attachments, removable media. For each, note who uses it, how it is backed up and how access is controlled. Decide the one place that becomes the home for files, and where Notion simply links.

Step 2: a matter number and a naming rule

- Never reuse a matter number; keep the old number in a field if you renumber.
- Use the same order every time, so files sort by matter then type.
- Avoid characters that break systems (slashes, colons) and very long names.
- Decide version labels: Draft, Sent, Final, Signed.

On the matter page, add a linked view of Documents filtered to that matter, grouped by type. That is the file, without the folder tree.
Step 4: link, do not mass move
- For each open matter, add its key documents to the database with links (not every draft).
- Leave closed matters where they are; link only if you need them for conflicts or precedent.
- Pick a start date. From then on, new documents are created and linked at once.
- Keep a mapping from old folders to matter numbers for the archive.

Creating new documents the new way
- Create the document from the matter page using a template that applies the naming rule and stores it in the right place.
- The Documents row is created or updated automatically (a button or an automation) with status Draft.
- When a version goes out, update the status to Sent and record the date.
- At close-out, mark the final versions and apply the retention date.
Email attachments
Save attachments to the matter's document location and link them, rather than leaving them in an inbox. A five-minute end-of-day routine does it: for each sent or received document, file and link it. See email triage and correspondence in Notion.
Security during and after the move
- Keep access control in the document store; do not rely on Notion links alone for confidentiality.
- Check that links do not expose files to anyone with the URL.
- Flag privileged documents and restrict their pages.
- Back up the document store independently, and test a restore.
Retention and destruction
Put a retention date on each matter at close-out, based on your regulator's rules, insurer and client agreements. A view of matters past retention gives you a list for review. Destroy only under your policy, and record what and when.
Measure the change
- Time to find a document (test with five real requests).
- Share of new documents created through the matter page.
- Number of files outside the home location (should fall).
- Documents with no matter link (should be zero).
Common mistakes
- Starting to move files before agreeing the numbering and naming.
- Linking every draft, which buries the final versions.
- No start date, so old and new habits coexist indefinitely.
- Treating Notion as the store and losing version history and controls.
- Forgetting email attachments, the biggest source of untracked files.

For closed matters left in the old structure, keep a mapping from matter number to folder, so you can find them. Search the old store by matter number, since the naming convention started later.
