What does an invoice tracker in Notion do (and not do)?
An invoice tracker answers four questions at a glance: how much work is unbilled, which invoices are out, which are overdue, and what has been paid. It follows each invoice through its life so nothing is forgotten between finishing the work and receiving the money.
What it does not do: it does not produce tax-compliant invoices, take payments, keep a general ledger, or hold, record or reconcile client trust or client account money. Those belong in your billing, accounting and trust-accounting software, and regulators set strict rules for them. See the existing page on trust accounting for the boundary.
What databases and properties do you need?
You need Matters, Clients and Time (see the time-tracking article) plus a new Invoices database.
| Property | Type | Notes |
|---|---|---|
| Invoice no. | Title | Match the number in your billing software |
| Matter | Relation | One invoice can relate to one matter, or several for a client invoice |
| Client | Rollup or relation | Pulled from the matter |
| Time entries | Relation | The Time rows included in this invoice |
| Fees | Rollup | Sum of Amount from related Time entries |
| Disbursements | Number | Costs recharged |
| Total | Formula | Fees plus disbursements (tax handled in your billing software) |
| Status | Select | Draft, Sent, Part paid, Paid, Written off |
| Issue date / Due date | Date | Drives ageing |
| Paid amount | Number | Total received, as reported by your accounts |
| Balance | Formula | Total minus Paid amount |
| Days overdue | Formula | Today minus Due date when Balance is greater than zero |
Rollups and relations are described in Notion's help centre. A Time entry's Invoiced checkbox can be a formula that is true when the entry is related to an invoice, so it updates itself.
What are the invoice statuses and who changes them?
| Stage | Trigger | Notion view |
|---|---|---|
| Unbilled | Time entry billable, not related to an invoice | Time: Billable and uninvoiced, grouped by matter |
| Draft | You create an invoice row and relate the time | Invoices: Draft |
| Sent | Invoice issued from your billing software | Invoices: Sent, sorted by due date |
| Overdue | Due date passed and balance above zero | Invoices: Overdue, sorted by Days overdue |
| Paid | Payment received and recorded in your accounts | Invoices: Paid this month |
| Written off | Partner or you decide not to pursue | Invoices: Written off |
Update Paid status from your accounts, not from memory. The accounting package is the source of truth; Notion mirrors it for visibility.
Which views drive collection?
- 1
Unbilled by matter
Group the Time database's uninvoiced billable entries by matter and show the rolled-up value. Anything above your threshold, or older than 30 days, gets billed.
- 2
Ageing buckets
Add a formula property Bucket: Current, 1-30 days, 31-60, 61+ overdue. Group the overdue view by bucket.
- 3
Chase list
Filter to Balance above zero and Days overdue above 7; add a Last chased date and a Next chase date.
- 4
Client balance
On each client page a rollup of Balance across their invoices shows total owed.
- 5
Monthly summary
A table grouped by month of issue date with Total and Paid amount sums, useful for the partner meeting.
Notion supports sums, counts and other calculations at the bottom of table views, so these summaries need no formulas. Each view has its own filters and sorts.
How should you run the cycle each month?
- Week 1: bill. Work the unbilled view, create invoice rows, relate the time, issue invoices from your billing tool.
- Week 2: confirm sent invoices carry due dates and the right contact.
- Weeks 2-4: chase from the overdue view, logging each contact on the invoice page.
- Month end: reconcile Paid amounts with your accounting records and review write-offs.
- Quarter end: look at average days-to-pay by client to decide who needs a deposit or different terms.
A written follow-up sequence helps: a courteous reminder at 7 days overdue, a call at 21, a formal letter at 45, and a partner decision at 60. Adjust to your engagement letter and local rules.
Where LawyerOS fits
We make LawyerOS. Pro with AI includes Time and Invoices databases plus Clients and Matters, with Time views such as Uninvoiced and Billable + Uninvoiced, so the structure above is largely there. It tracks invoices; it does not issue them or handle client money. Starter does not include Time or Invoices databases.
Frequently asked questions
- Can Notion replace my billing software?
- Not for generating invoices, accepting payments or accounting. Notion is good as a visibility layer: it shows unbilled time, invoice status and overdue balances next to the matter, while your billing and accounting software remains the source of truth.
- Can I track trust or client money in Notion?
- No. Client trust money is regulated and needs proper trust-accounting software with the controls and reconciliation your regulator requires. Use Notion only for matter information and, at most, a reminder column; check your jurisdiction's rules.
- How do I see unbilled time per matter in Notion?
- Relate Time entries to Matters, then create a view of Time filtered to billable and not invoiced, grouped by matter, and sum the Amount. A rollup on the Matter can show the same total on its page.
- How do I calculate days overdue in Notion?
- Use a formula that compares today's date with the Due date, returning the number of days only when the balance is above zero. Use the result to group invoices into ageing buckets such as 1-30, 31-60 and 61 plus.
- How often should a law firm review overdue invoices?
- Weekly is a sensible rhythm, as part of your weekly review. Monthly alone lets small balances age. Record each chase on the invoice so anyone in the firm can see what has been said.
