Do You Need Practice Management Software? A Decision Guide

You probably need practice management software if you hold client money, bill hourly at volume or want integrated court-rules tools. If you mainly need to track matters, deadlines and tasks, a well-built Notion workspace may be enough, often alongside separate accounting software.

Start with what you must do

RequirementLikely answer
Hold client funds with compliance reportingDedicated software or accounting built for it
Invoice and take payments from mattersDedicated software, or accounting software plus Notion
Court-rules deadlines calculated for youDedicated or specialist tool
Track matters, next actions and key datesNotion can do this well
Keep procedures and research togetherNotion suits this

Questions that settle it

  1. How many people work on matters, and do they need strict roles?
  2. How much do you bill by the hour, and how painful is invoicing today?
  3. Does your regulator prescribe how client money is handled?
  4. How much time will you realistically spend maintaining a system?
  5. What would it cost to move later?

If the answers point to light tracking and low billing complexity, test Notion first. If they point to client money and heavy billing, start with dedicated software.

Frequently asked questions

Can a solo lawyer skip practice management software?
Many do, using accounting software plus a tracking tool. Check your regulator's requirements.
Is Notion a practice management system?
Not in the full sense; it can cover matter tracking and tasks.
What if I pick wrong?
Keep data exportable and run a trial for a month before committing.
Do I need both?
Some firms do. Use each for what it does best.
